How to Use the Recipe Calculator: A Simple Guide for Bakers

Thank you for purchasing our Recipe Costing Sheet! This guide will help you navigate the file and maximize its features to simplify your recipe costing process.


πŸ“Œ Before You Start

βœ” Enable Macros – When you open the file, choose ENABLE MACROS to ensure full functionality. Don't worry; the macros in this file are completely safe.
βœ” The file contains four tabs located at the bottom:

  • INGREDIENTS
  • RECIPE COSTING CALCULATOR
  • CONVERSIONS
  • RECIPE SCALING CALCULATOR

πŸ›’ Ingredients Tab

This is where you enter your ingredient details, including cost, unit, and category.

1️⃣ Expand & Collapse Categories – Click on a category to expand the list of ingredients. Click again to collapse it.
2️⃣ Unit Selection – Use the drop-down arrow to choose a unit. We highly recommend converting all measurements to grams (metric system) instead of cups or tablespoons.
3️⃣ Input Your Quantity – Example: If you buy flour by the sack (25kg), input 25000g.
4️⃣ Enter the Price – This should be the total purchase price of the ingredient.
5️⃣ Cost per Unit – This column automatically calculates the cost per unit. Do not alter this formula column.
6️⃣ Missing Category? – If you can't find a suitable category for an ingredient, use β€œOthers” at the bottom of the list.

πŸ“Š Recipe Costing Tab

This tab calculates the cost of your recipes based on the ingredients listed in the Ingredients Tab.

βœ” Optional: Make a Copy – If you want to categorize different recipes, create copies of this sheet.
βœ” Enter Ingredients – Type the first few letters of an ingredient, then select from the list.
βœ” Input Quantity – The cost will be automatically computed.
βœ” Blank Cost? – If a cost doesn’t appear:

  • Check the Ingredients Tab to ensure the ingredient has a price.
  • Verify the ingredient name matches exactly with what’s in the Ingredients Tab.
    βœ” Overhead & Other Costs – Use the section at the bottom to add additional expenses (electricity, labor, packaging, etc.).

This tab helps you quickly convert common ingredient measurements between US and metric units.

βœ” Find Common Conversions – Preloaded conversions for flour, sugar, butter, etc.
βœ” Use the Conversion Calculator – Type the ingredient name, input the quantity, and get the equivalent in different units.
βœ” Limitations – The calculator only includes standard conversions (e.g., flour in cups but not tablespoons). If your recipe calls for a non-standard unit, you may need to convert it manually.

This free tool helps you scale recipes up or down while maintaining the correct ingredient proportions.

βœ” Enter Ingredient Name (or select from the dropdown).
βœ” Input the Original Quantity – The calculator will automatically adjust the quantities for different batch sizes.
βœ” Great for Bakers' Percentages – Easily scale your recipes without manual calculations!

  • Keep your Ingredients Tab updated – If you change ingredient costs, update them here to get accurate recipe pricing.
  • Save a backup copy before making major changes.
  • Optimize your pricing – Factor in labor, packaging, and overhead costs for better profit margins.
